We are seeking a detail-oriented, dependable HR Operations Specialist to manage the consistent and accurate administration of payroll and benefits, while supporting key operational HR functions across the employee lifecycle for a 200-employee organization. The ideal candidate brings solid knowledge of HR practices, policies, and systems in a multi-state environment, along with the confidence to identify issues and propose solutions before they escalate. While the role may support other HR tasks as needed, it is best suited for someone who enjoys hands-on, operational execution and takes pride in getting the details right.
PRIMARY RESPONSIBILITIES
- Manage the payroll process in close collaboration with Accounting, including timely and accurate preparation, processing, and auditing of semi-monthly payroll for a multi-state employee population
- Serve as the primary contact for employee benefits administration, including enrollments, life events, claims support, and vendor coordination
- Maintain HRIS systems, including document management, workflow configuration, and employee data integrity
- Own the end-to-end onboarding and offboarding processes, including coordination with internal stakeholders, HRIS setup, document collection, and employee communication
- Manage all payroll and benefits reporting requirements, including but not limited to EEO-1, California Pay Data Reporting, and non-discrimination testing
- Establish and maintain a digitized employee file system to support compliance, audits, and operational efficiency
- Respond to employee questions regarding payroll, benefits, taxes, and HR policies with a service-oriented approach
- Process employment verifications, benefit invoices, and employee changes in internal systems
- Support annual HR programs such as open enrollment and policy acknowledgments
- Maintain and update internal HR resources such as intranet pages, employee guides, and policy documents
- Assist with overflow recruiting tasks, including job postings, interview scheduling, and resume screening as needed
- Participate in ongoing process documentation and improvement projects, ensuring clarity and efficiency
- Perform other related duties and special projects as assigned
QUALIFICATIONS
- 3–5 years of progressive HR experience, with a strong focus on payroll and benefits administration preferred
- Strong knowledge of HR practices, policies, processes, and systems in a multi-state environment
- At least 1-2 years’ experience with payroll and HRIS platforms (e.g., Paylocity, ADP, Paycom, or similar systems)
- Demonstrated proficiency in Microsoft Excel, Word, and Outlook; experience with Canva is a plus
- Strong organizational skills with attention to detail and accuracy in managing sensitive employee data
- Demonstrated ability to think critically, anticipate issues, and proactively develop effective solutions. Comfortable working independently within a process-driven, team-based environment

- Bachelor’s degree or equivalent work experience preferred
